A few words from Julie Davis to end 2018

This year, we modernised our recruitment systems using the global leading software, Bullhorn. Our training was conducted from a lounge room somewhere in the USA at around midnight their time (Friday afternoon for us). Well this is where the trainer was! In fact, this person had a fully booked calendar working from home as a technical trainer for Bullhorn for Australia and Asia.

Bullhorn has 8000 recruitment companies worldwide using their cloud based platform. All accessible on an iPhone. Phoning to renew my house insurance recently and the consultant was also working from home. Same with banking staff around South East Queensland.

Our new software can now be accessed via mobile phone and can locate applicants using their location. There is no need for data entry of
candidate’s details – the software uses artificial intelligence to pull the candidate’s details and populate their record. This is a time saving of 2 days per week (or one persons job)!

In fact, the building we work from inStones Corner, The Bower, has now been transformed to a plethora of hot desks and meeting rooms to accommodate the changing world of work. The only essential tools for businesses are now a mobile phone and wifi. Offices are becoming
smaller and business is now more cost efficient. The world of work is changing and technology is allowing us to do it! All in the name of work life balance – the new utopia. Streamlined businesses will survive any future changes in the world of work andservice delivery.

Our website has also been updated this year and includes our Terms ofBusiness (Our Fees).

Davis Recruitment now has active Facebook and Instagram pages. If you would like to follow us please checkout the links on our website today.

Hays predicts recruitment activity will remain high across Australia’s health care sector across 2018-2019. The NDIS rollout is creating opportunities in metropolitan, regional and remote locations in disability services for Support Coordinators, Local Area Coordinators, Service Area Managers, experienced Team Leaders,Occupational Therapists and Physiotherapists, as well for any candidate with knowledge and experience within the disability sector. Mergers between smaller companies in this area is also creating demand for Supervisors and Managers. Demand has also increased in the mental health sector.

Back to Study

Juanita and I have enrolled in further studies this year.

Juanita is my trusty offsider for the past 3 years – all of our Temps will know her as the payroll lady! But to me, she is a jack of all trades in the office having already completed qualifications in Accounting and Recruitment in the past.

We are studying an external Graduate Certificate in Career Development
through the Career Development Centre. This course is designed to guide job seekers into areas of need in employment but also areas of interests. It has been 20 years since I last completed university study’s so quite the
personal challenge! But it is something I am interested in and can be of use most days of the week. Nothing makes one feel better than helping a person find a career they will enjoy.

Another course that may be of interest to our subscribers is the Mental Health First Aid & Mental Health Workshops also run at the CDC. The Centre believe mental health and a fulfilling career go hand in hand. This is why they provide industry specific mental health workshops and training for all types of businesses across Australia, with the aim to increase the knowledge and skills of employees, managers, human resources teams and organisational leaders in addressing mental health conditions in the workplace. These workshops can be tailored to your organisation, and trained as a half day or full day.

In addition to workshops, CDC offer Mental Health First Aid training accredited by Mental Health First Aid Australia. The 12-hour Mental Health First Aid (MHFA) course teaches adults how to provide support to other adults who are experiencing a mental health crisis or developing a mental illness (eg. The person is suicidal or has had a traumatic experience).

As this year comes to a close, we would like to wish you a wonderful festive
season and thank you for your ongoing support throughout the year.

When you’re presenting yourself in any role preparation is key. As a Medical Receptionist, this is your opportunity to show the interviewer that you’re perfect for their role and have what it takes to be the face of the practice as their first point of contact.

When selecting your attire, ensure that your outfit ‘fit’s the company culture of the organisation that you are interviewing with.
Whether it be business attire, smart casual, minimal jewellery, makeup and or nail polish; keep it simple along with enclosed appropriate footwear.

This is part 2 of our blog series. To learn more tips on how to prepare for a Medical Receptionist interview, read part 1 of our blog.

Prepare for the interviewers questions

For your potential employer to learn about your skills and expertise, the interviewer will ask a myriad of questions. Key preparation for your interview process and to help with nerves is to practice answering potential questions that you might be asked in your interview out aloud.

Some questions often asked in Medical Receptionist interviews are:

Tell us about your previous experience?

What are your strengths and how do you identify your weaknesses?

Share when you have gone above and beyond for a patient.

What is the process you go through when dealing with conflict with a patient? Can you provide an example?

What would you bring to our practice

Hot tip: When practicing how you’ll answer questions, answer them out loud. This will increase your confidence

Research the people who will be interviewing you

If you can, research who will be interviewing you on LinkedIn. This will help you understand their background and how long they have been at the practice. You might even find out you use to work with one of their colleagues!

Preparing for an interview is beneficial and will show you have more interest. If you have any questions about a role you’re interviewing for, reach out to your recruiter and ask, as they often might know the answer.

You’re over the moon because you got an interview for a Medical Admin role that you really want. Now the fun begins- interview preparation. Candidates that stand out from others are those who have done interview preparation as it shows they are willing to go the extra mile for the job. How do you prepare for an interview? Here’s a few tips on how to prepare for an interview for a Medical Receptionist.

Look into how you’re going to get there

Before your interview, research how to get there. If it’s inner city, it might be easier to get public transport. If driving is easier, is it in peak hour traffic? Research how to get to the interview and work out what time you need to leave to be able to get to the interview about 10 mins early.

Research the practice

Do a Google search of the practice before your interview. Your potential employer may have a website where you can learn a lot about the practice, such as how many doctors there are, what area they specialise in and perhaps even the medical admin staff. This will help you understand more about the practice and might help with our next tip.

Prepare your questions

Once you’ve done some research, think of some questions that you want to know in relation to the position, the practice and your potential employer. Some questions could be:

You noticed on their website that there were three receptionists at the practice.
When hiring staff, it’s important to consider during the process who is the right fit. The right fit is more than ticking boxes in relation to software skills, experience and longevity. Other factors to consider are personality characteristics such as empathy, positivity and the ability to adapt to any given situation; go with the flow and step up when it’s called for.

Your staff are the first point of contact for incoming patients over the phone and in person. They should be an extension of your “right hand”. A recent article by the ABC said Australians are putting off seeing a doctor because they are unable to afford the out of pocket expenses. However, during the 2017-2018 financial year, Medicare bulk billing rate hit an all-time high of 86%, and more than 133 million GP services were bulk billed.

With the decreasing costs paid to doctors, practices and clinics are looking for ways to cut costs. One solution is to decrease staff costs and limit the amount of staff, including receptionists.

When applying for jobs, email is a communication method used regularly. Email can even be your first impression with an employer or recruiter, it’s important to understand email etiquette and avoid the wrong first time impression.

Include a greeting and sign-off

When you send an email do write ‘hello’ and use a closing remark e.g. ‘kind regards’? When you start a conversation with your work colleague, it’s always polite to acknowledge who you are about to speak to; same goes for emails.

Not including a greeting and sign-off can come across quite abrupt and rude, especially if you don’t know them.

Spelling mistakes

Just like your resume, emails should not have spelling mistakes in them. This indicates a lack of professionalism and interest. Most emails software does have spell check, however it’s not always correct. Here at Davis Recruitment we tell our candidates to always proof-read your email before hitting send.

Level of urgency

If you have to discuss a matter that is urgent, making a phone call is key, especially when contacting a recruiter as they can receive numerous emails from both clients and candidates. Pick up the phone before selecting “High Importance”.

Email Length

Avoid writing emails that are like an essay. If you have to send a lengthy email, break the email up into headings, that way the receiver doesn’t get overwhelmed.

When looking for a job in today’s market, it’s important to think about what a recruiter or employer are looking for. No longer can you simply just submit your resume for a job, here’s a few ways to help be a better job seeker.

1. Be truthful and consistent

Ensure what you write on your resume is accurate. From reading a candidates resume to meeting them in person and finding out their experiences are different, is a situation you want to avoid. Recruiters much prefer if you’re honest about your experiences and what you want in a job.

2. Build a network and connect

Once applying for a few jobs, you’ll soon seen there’s a few recruiters that are known in the industry. Personally email them or connect with them on LinkedIn and see what other opportunities they might have. Building relationships with recruiters is important as you never know what’s around the corner.

3. Check your social media

One technique businesses include in a candidate screening is checking you’re online presence. It’s important to ensure you’re privacy settings are set appropriately and anything inappropriate is removed.

4. Prepare for an interview

Once you’ve been informed you have an interview, it’s vital to do your research before you interview. This includes researching the business, preparing for any questions they may ask and thinking of any questions you might want to ask.

5. Keep in touch with a recruiter

Recruiters have many candidates, so it’s important to keep in contact with them to see if they have any new job opportunities.

6. Be patient and stay motivated

Seeking a new job is time consuming. Updating your resume, writing cover letters, meeting with recruiters and having interviews all takes time. It can also be hard to stay motivated when you receive a rejection. If you had a job interview, ask the recruiter or employee for feedback so you can use the feedback to help land the right job. It’s also important to make sure you most likely won’t get a job straight away, finding the right job takes time.

Using these tips will help you be the best job seeker and recruiters will love you for it.

Seek have recently released data on Australian industries which have boomed in the last 12 months. The report highlights five industries which have had an increase in job ad growth and break down role growth within the industry.

The Healthcare and Medical industry are third on the list. Within the healthcare and medical industry, Medical Administration has experienced a growth of 0.6% in 2017 compared to 2016.

What does this mean?

As always, candidates are seeking to enter the medical field more than ever. However, opportunities at entry level are scarce. Solid experience and transferable skills such as previous experience in a variety of modalities and strong IT/customer care skills are always highly sought after. As there are few entry level positions, candidates are finding it hard to gain experience, which has created a skill shortage. Therefore, roles that require experience are increasing and remain difficult to fill. So what can you do if you’re an employer or a candidate?

Employer

Its clear job growth within the Medical Administration is rising and due to a skill shortage, it’s becoming more difficult to find the right candidate. Here’s a few things to think about when you’re next hiring a Medical Admin:

If your current staff have the time and skills, look at hiring a junior with little experience. Not only will it give more candidates an opportunity to thrive within the industry, a junior can also be IT savvy and have a willingness to learn and grow.

Being lenient with skills that are required. Finding the right person might not have all the skills you are after, however most skills can be taught.

Be willing to speak to a recruitment agency. Recruitment agency’s know their candidates and clients (if they are good that is) so they will be able to find the right person (skills and culture) for your practice.

Candidate

If you have Medical Administration experience, great, but if you don’t and you want to get into the industry, it can be more difficult. Here’s a few tips on what you can do:

Strong IT and customer care skills are highly sought after, so if you have experience in this, talk about your experience and relate it back to the practice you’re applying for.

Don’t be too picky about your first job, seek any entry level receptionist job, after all, any experience is better than none.
